* Cloud base software to be running on website with multiple log in for visitors or clients or admins.
* Smart management system that can help small business achieve there needs with less time and less labor.
* Software must be able to collect data of business customers/ clients by typing manually or by file transfer,
* Customers/Clients they can schedule there appointment on line or by there smart phone, followed by 2 confirmation emails for the appointment, one for the client to confirm the appointment been set for that time. and the second email will be sent to the ADMIN to notify that new appointment been set.
* Voice message and email and text message reminder one day before the appointment to confirm the client still coming to the appointment. Options will be as ( if you coming to the appointment on that day press 1, if you changing the appointment to other day press 2, if you canceling the appointment press 3, to request someone to call you back press 4 ) this is example. if the client press any number from the option it must update the system to do so.
* Accounting, Invoicing, Items inventory,
must be able to calculate , add profit and loss and show total sales, Calculate cost of items and how much profit is there after charging the item to customers. Must has invoice set up in case a customer asked for invoice , it will only show the name of the company , and the details of the items been charged, total, tax .... and so on. system must keep a data of every clients and has reporting options , for daily sales , weekly sales , monthly sales , yearly sales.
* Billing option.
if customers has the option to be billed it only be a button that allow billing process to start. Billing can be by Email and it can be mailed regular mail also.
some medical or dental coding terms in order to complete billing, it must be applicable to that.
* system must show red flags as alerts if anything need to be completed, as if appointment not confirm, if bills not sent yet, if inventory running short, if invoice not made yet, if missing info not in data such as full name , address, Credit card info , if medical it must has insurance verification ... etc...
* payment system that can except credit cards must in the system in case of monthly payments such as ( gyms ) after they get the person data in the system they automatically charge them monthly ...
* option for local listing with local map icon to allow the small business to add there business to the local listing for there location.
*writing a rating review options from customers and small business.
*online marketing and social media options that helps to promote the business and make sure gets the business location found when customers are searching for service.
*group email marketing, group text messaging , in case the small business want to run advertising campaign, they can email or text everyone in data base with one click. some companies offer coupons for limited time , they can get the message fast to everyone, some clinics maybe closing today because of storm or snow, then its easy to send the message to everyone fast. this option must be there.
* Multiple Log in .
the receptionist has limited access log in to book appointments and follow up with late or coming clients, take messages and forward to staff, id or insurance verification, or payment processing...
manager log in, they can view the history of clients. ad marks and notes. but marks and notes cant be printed in case of doing print out.
* owners or General managers. log in . they see all activates on there dashboard , they can leave notes on each task , send messages for corrections.
* the system must calculate the time of log in to the time of log out.* Must add ( Search engine optimization ) rank on first page improvement options integrated with the business website . We need job proposal, time of project to be done, after we test we pay ( No advance payments) payment due when job is done.
