I have over 20 years experience as a bookkeeper and there is nothing that escapes my attention. Whenever I start a new project I always do a brief forensic examination of the records that I find. In your case this would have a complete forensic examination of every transaction over a period of time say 6 months. However this would depend on transactional volume and the complexity of the accounts. It might then be that a shorter or longer period would be more appropriate. You do not say what software you use and it would probably be necessary to have remote access to your bookkeeper's computer. The work could be done at times when she is not there and given the time differences between the USA and UK where I am based this should not be difficult. Hard copies of documents (invoices, bank statements etc) could be emailed. At the moment I am suggesting an 'invisible' audit. However if you believe that there is fraud then the mere fact of making her aware of a 'visible' audit might be all that was needed to make her mend her ways, improve performance or initiate other action from her. I am an IRS enrolled agent and have a tax and bookkeeping practice in upstate NY. If you are using QuickBooks for your accounting, I can review and correct your books with a minimum of disruption to your business. If you are using another system, it may take a bit longer. While working with many small businesses, I train their bookkeepers to do a better job and also teach new business owners how to do their books. Even though it's tax season I think I could complete your project within 2 weeks of receiving the information.
